Data Deletion

1. What a deletion request is

A deletion request asks Automind Labs to delete the personal information associated with an Automind Platform account or with a conversation held with Automind Labs.

It can be made by the person that information belongs to, or by someone authorised to act on their behalf.

2. What to include

So that we can find the right information and avoid deleting someone else’s, a request should state:

• The account identifier used to sign in to Automind Platform, for example the email address associated with it.
• The name of the organisation or workspace, if the request concerns a specific one.
• Which channel or integration the request concerns, if it concerns a specific one.
• Whether you are asking for full deletion or only for part of the information.

Do not include passwords, access codes, tokens or credentials for any service. Automind Labs never needs that information to handle a deletion request, and it should not be sent through any channel.

3. How a request is verified

Before deleting anything we carry out reasonable checks to confirm that the person asking is entitled to do so, normally by verifying control of the account identifier provided.

If a request cannot be verified from the information provided, we may ask for a clarification, limited to what is strictly necessary for that check.

4. What happens after a request

Once a request is verified, the associated information is deleted or anonymised, depending on what is appropriate for each category.

Information that must be kept to meet applicable legal or contractual obligations, or that is necessary for the security and integrity of the service, may be retained, and only for as long as that need exists.

5. Information held by external services

If you used an integration with an external service, such as a messaging channel, that provider may keep its own copy of the information under its own policies.

Deletion in Automind Platform does not by itself remove information held by that provider, so a separate request to them may also be needed.

6. How to send a request

Deletion requests are handled directly by Automind Labs.

To request deletion of your data, email the address below stating that you are requesting data deletion, and provide only the information reasonably necessary to identify your account or request.

Never include passwords, access tokens or other credentials in a deletion request.
